The Browse Bar


The bottom of each screen in this document has a browse bar with the following buttons: Home Last Link Go to the first page of the CD Contents online document. Go to the most recently viewed link. This is the equivalent of the Back key on a web browser. You can also use the back button in the Acrobat tool bar. Go to the previous page of the current online document. You can also use the scroll bar or the arrow buttons in the Acrobat tool bar. Go to the next page of the online document. You can also use the scroll bar or the arrow buttons in the Acrobat tool bar.

Using The Acrobat Reader Tool Bar


Display - use these buttons to change the screen display This icon toggles back and forth between having the page be the only thing in the window (Plain Page) and having the sidebar. The sidebar has several tabs at the top that allow you to switch between view modes. The view modes actually used with Kronos Documentation are listed below. Plain Page. Nothing on the left. The page is the full screen width. Bookmarks and page. Click a bookmark to jump to that section. Thumbnails and page. Thumbnails are small pictures of each page of the document. Click the thumbnail to jump to the matching page. Pointer Tools - these buttons change the mouse pointer to different tools Hand tool. This turns to a finger to select hyperlinks. The metaphor is of moving a page within a window; you can use this to move the page within the application to see other sections of it. Zoom tool. This enlarges the area it is held over when clicked. To go back, right-click the mouse and select Back from the pop-up menu. Text selection tool. Use this to select up to a page of text to copy and paste into other applications.

Acrobat View Icons Scroll Pages Go to the first page/last page of the document. Go to the previous page/next page of the document. Change Views These buttons allow you to go to the previous or next view. This is not the same as scrolling through pages; rather, it is similar to the back/next buttons on an internet browser. Screen Magnification Change the view to 100% magnification. Fit entire page in the window. Fit visible width of page in the window. Find Use this button to run a search in the document youre currently viewing.

Acrobat Search Buttons Acrobat Search The full search button. This allows you to search all the Acrobat manuals. To enable this feature, see Enabling The Search Index on page 13. It will search the entire CD very quickly and list all instances of the text you enter on the list screen, explained below. The search results list screen. To display a list of all the documents that have matches to your query, click this button. You can jump to any of these documents by clicking on its name on this list. To scroll through the matches in the documents, use these buttons. When the Reader gets to the end of the matches in one document, it will select the next document from the list automatically.

Whats On This CD-ROM?


This CD contains all Kronos TACS/TPS Group software documentation in Adobe Acrobat 4.0 and the Acrobat Reader With Search 4.0 installation program for a number of operating systems. Acrobat format is also called Portable Document Format, so these files have PDF extensions. To read the Acrobat documents on this CD, you must have Adobe Acrobat 4.0 installed. There are several programs that can read the files on this disc - Acrobat Reader 4.0, Acrobat Reader With Search 4.0, and the full version of Acrobat 4.0. This disc is optimized for the Acrobat Reader With Search. The documentation directory contains an index file that allows you to do advanced searches on all documents on the CD instantly. Without search, you can only do regular searches on whatever document you have open at the moment. You can install Reader With Search over an existing Acrobat reader. Just make certain your existing Acrobat reader is not running when you install the new one. Acrobat Reader and Acrobat Reader With Search are free. This disc includes the 4.0 version of Reader and Reader With Search for various operating systems in the Acrobat directory. You can download these or later versions of these readers at www.adobe.com.

Why Acrobat?
Adobe Acrobat gives most of the benefits of a help system and most of the benefits of printed documentation in a single format. You can print an entire manual in one pass, but you still have hypertext links, a powerful search engine, and other features you expect from online documentation. This has become the standard for documentation delivery from most software companies. Acrobat also reduces the overhead of maintaining over ten thousand pages of documentation both at Kronos and for the client. With earlier releases, you would have to replace sections or entire manuals on a regular basis with paper sections. With the new CD format, you always have the latest documentation in one place, and can find any section in very little time without needing three to five feet of shelf space. You can also make certain you have the latest corrections to all documentation, something that would be prohibitively expensive and time consuming to do on paper.

Using These Documents Online

Printing Documentation To print this documentation, simply select Print from the File menu (written later in this document as File | Print). Then select a page range, just as you would with a word processor. Unlike most help and web systems, you can print an entire manual at once with correct page breaks and a table of contents. This document should look identical to one produced in the original application (Adobe FrameMaker 6.0 and Microsoft Word 2000) with the original font set. You do not need to have these fonts on your system to view and print them. The documents are designed for double sided copying on three hole punch paper. When you need a printed version, print it in this way and put it in a three ring binder.

Enabling The Search Index You can search any individual document in PDF using the basic search tools in Acrobat Reader. Do this by clicking the binocular icon or selecting Tools | Find. However, there is a more advanced search engine that can find text in ANY document in the archive, which in this case means any DDI document on this CD-ROM. To use this feature, select the binocular with document icon, or select Tools | Search, then select one of the search tools listed. Either way, you must first find the index for this CD. This process is shown below, and is different than the one in Acrobat 3.0. 1. Select File | Document Info | Index... from the menu bar. Then click the Browse button. 2. Select the Index file. When you exit these windows, run a full search on a common TPS term like start date. You should get a series of documents that contain this phrase, with a ranking icon on the left side of each entry. Click on any entry to see the matching text.

Bookmarks Click the bookmark button on the tool bar to view a contents list in the left margin. This list is nested; if you click on an item with a triangle next to it, it will show you the subheaders in that section. Click on the text to jump to the section you want. You can also select this feature by selecting View | Bookmarks And Page. Thumbnails Click the Thumbnails and page icon to view miniature pictures of each page in the left margin. You can then select a page just by clicking on its image. You can also select this feature by selecting View | Thumbnails And Page. Other Features To learn more about the features of Acrobat, select Help | Reader Online Guide. To return to your original document, click the Back button or select View | Go Back.

Copying Text To select all the text on a page, use the Text tool in the tool bar, select Tools | Select Text. This will not allow you to select multiple pages or graphics, but it will allow you to cut and paste text to other applications. Troubleshooting When I try to install Acrobat 4.0, the installation fails. Uninstall older versions of Acrobat before attempting to install Acrobat 4.0. When I click on any page in Acrobat, the view zooms in. You have the zoom-in tool on (the magnifying glass). To switch to the hand tool, click the hand button in the toolbar (next to the magnifying glass). Now you can use the hand icon to advance pages and select cross-references. When I search the index in Acrobat on a term with underscores (such as BASE_PAY), I dont get any results. Acrobats Search engine cannot recognize underscores. Try running the search on the term without the underscores (BASE PAY). Acrobat will still find BASE_PAY.
