INTRODUCTION
We are trying to develop Software as GAS AGENCY SYSTEM. In this Software every task is done electronically, it means all work done computerized. So that the processing time get reduce & get required proper output is done in the given time. Using this Software we can store all information related to Purchase order, Customer Records, Cylinder information etc. We have designed our Gas Agency Project on the basis of the facts & requirements collected from Gas Agency System. The manual system use in most of the Gas Agency has the following problems: Difficulty in updating of records. Difficulty in keeping the cylinder information specifically about booking id, cost facilities etc. Difficulty in handling the register of gas agency system. There is always chance of data redundancy & data inconsistency. Difficulty for deleting any particular record. There is always a chance of error. To avoid above problems there should be a database for the gas agency containing the information about their booking id, delivery id,customer id,etc.

Scope of work
The Gas Agency System is a real time application which can be used in any Gas Agency enterprises for maintaining the cylinder databases. The system maintains database of each cylinder. This system also contains login page so that the new user cant access private data directly. The login page can be used by administrator to view the cylinder database to get idea of the competition amongst the different companies. This system allows administrator to add, update, delete and view cylinder database records. This system is highly efficient and prominent to use. To provide User friendly environment for user. Having various in-build facilities like calculations,proper timings, report Generation & etc. Time maintenance and member records are available.

Existing System
Gas Agency management is carried out manually. This system work as follows: First customer visits the shop then goes to the counter. Customer asks the information about product. Thereafter customer is asked to do the registration process and submit all the documents. Then when the customer is registered than he can book the number of cylinders minimum 2 for domestic and maximum 3 for commercial. Then the operator accepts customer information and prepare bill. Customer pays the bill. Take the product

Gas Agency system creates a lot of management problems. They are as follows: Difficulty in updating of records. Difficulty in keeping the cylinder information specifically about booking id,delivery id, cost facilities etc. Difficulty in handling the register of gas agency system. There is always chance of data redundancy & data inconsistency. Difficulty for deleting any particular record. There is always a chance of error. In manual work lot of calculations are carried out which has lot of chances of mistakes. All this lead to the existing system not able to achieve the desired result not the desired accuracy also the efficiency and time consume is more. This existing manual Gas Agency system requires to be renovated so as to eliminate all those dependency occurring on it.

Need of System
Anticipation of the future needs. Up to date maintenance of information. Easy access to different types of information as per requirement System maintains voluminous data easily. Financial and statistical reports generated timely are accurate and effective. These reports help management to take effective decisions. To improve accuracy of Data Entry To improve easy retrieval of required data reducing the manual workload to utilize the man-hours in proper manner To reduce paper work and save money wasted in stationary purpose. Security of data is more reliable.

Operating Environment Hardware and Software

Technologies and tools used in Policy system project are as follows Technology used: Front-End Jdk 1.6.0 Back-End MICROSOFT ACCESS

Environment requirement:
The environment requirement consists of two requirements as follows for this system: Hardware Requirements Software Requirements 1. Hardware Requirements: Processor:- Intel Pentium 4 or above Memory:- 512 MB or above Other peripheral:- Printer 2. Software Requirements: Jdk 1.6.0 Windows XP Operating System Internet Explorer 6.0/above MS Access

Proposed System
Objective to be fulfilled In this system the all work related the orders are done using computerized system. In this system mainly we focus on following things. The System is developed in manner that it is user friendly And required help and validation are provided at different Level. To facility easy retrieval of data & information The system is easy to handle Data should be remaining secured even on system crash. To facility easy retrieval of data & information. To facility easy generate report. To enhance speed of work.

Objective
We are trying to develop the software which could be use in Gas Agency. So that the function performed in Gas Agency system will get more accuracy, speed & easy to work, because of automatic function in system like keeping the records of customers, billing. Entry of billing record is done easily. We do not want to maintain record manually. In short period of time we do the processing of system. By this system member can search for particular bill with out searching in files. So with in second he/she can know the record of the bill. He can check whether the bill total is right or not with out doing manually. After the development of the system, the working of the system shows that it dealt with the following aspects: Maintaining master data stores of customer. Maintaining master data stores of registered customer. Maintaining validity and security of customer and administrator. Providing fast, precise and efficient report to the administrator.

Implementation and Maintenance

Implementation and Maintenance is considered is the most important part of the project as without implementation the Project is of no meaning it may be possible after a rapid testing bug may be there in the system. So maintenance constitute of the developers. Implementation and Maintenance constitute training of user. Bug fixation and problem solving etc. Hence it is part of the contract between the client and developers that implementation and maintenance must be handling properly so that no further problem in this system may arise user is the novice person to use the system hence training is considered to be the vital part of the total process. As per the contract user are trained to use the system. After there proper training when they find the system to be worthy then it is considered that the development of the system is complete

Drawbacks and Limitations

Every work/process/activity is always surrounded by some limitation, which may be caused either by nature or by human originated activities. This project report is not the exception one. During the collection data for the preparation of this report, research face many problem there are stated as underAs it is totally manual the major fault is to keep the registers safe. As well as when report is needed it is hard to get report, Because each detail is not available at the required time. So management gets trouble for collecting the data. The limitation of this report is lack of perfection due to lack of experience of researcher. The next limitation that he faces was limited time. The researcher doesnt have a technical qualification, which is major problem to complete report.

Further Modification
As we know every system follows a life cycle and becomes absolute with time. So it is necessary to make changes to keep track with the time. We will try to include information about Cylinders etc, and we can also create report in deep. In future we can also progress the working of this software.
