Purpose

Management needs Analysis & Planning tools for

various business decisions.

Various reports are needed to be generated by

querying database tables.

Report generation involves large query-time i.e.

larger report generation time.

Instead, we can create user-defined Information

structures according to the needs and utilize
them for analysis.

India SAP CoE, Slide 4

Use
This report information can be used at
different levels in the decision-making
process as a control and planning
instrument.
This would enable the organization to
recognize market developments and
economic trends early on and to take
appropriate measures.

India SAP CoE, Slide 5

Challenges
Sieving the necessary information
or data from the huge amounts of
available data that is needed for
analysis is a real challenge
To ensure that the data selected
for analysis is still relevant in the
current market environment.

OLTP and OLAP

On Line Analytical Processing, or OLAP, is an approach to quickly

providing answers to analytical queries that are dimensional in nature.
OLAP is part of the broader category business intelligence, which also
includes Extract transform load (ETL), relational reporting and data
mining. The typical applications of OLAP are in business reporting for
sales, marketing, management reporting, business process management
(BPM), budgeting and forecasting, financial reporting and similar areas.

Online Transaction Processing (or OLTP) is a class of programs that

facilitate and manage transaction-oriented applications, typically for data
entry and retrieval transaction processing. OLTP also refers to computer
processing in which the computer responds immediately to user
requests. An automatic teller machine for a bank is an example of
transaction processing. Some applications of OLTP include electronic
banking, order processing, employee time clock systems, e-commerce,
and e-Trading.

Logistics Information System

Logistics Information System (LIS) is an information system where one

can create specific tables that are updated at specific stages and that can
be used to report on values contained in specific fields.

LIS enables an organization to use these information systems for

controlling, monitoring and planning purposes.

LIS can be broken down into each logistics applications individual

information system, such as the sales information system (SIS).

The other logistics applications have their own information systems such
as Inventory Management, Purchasing, Plant Maintenance, etc.

India SAP CoE, Slide 10

Standard SIS

SAP has standard sales information structures (SIS) that are already
configured in the system.

These information structures can be accessed via the menu path:

Logistics Sales and Distribution Sales information system
Standard Analysis

The reports use Customer, Material, Sales organization, Shipping point,

Sales employee and Sales office as characteristics.

To use a standard report, the report must be activated in customizing, the

statistics group in the customer master (Sales screen) and material
master (Sales Org. 2 screen) must be set and relevant for updating these
structures in the updating control

India SAP CoE, Slide 11

Organization of Information
Structures
Organization
of Information
Structures
Information structures are special statistical tables which contain basic data
from different applications. This data is constantly collected and updated by
the system.
Information Structures contain three basic types of information:
Characteristics: These are criteria which you specify to collect data on a
certain subject. For example in SD - Sales information is required on Sales
organizations, Plants, Customers, Materials etc.
Key figures: These are performance measures which provide important
business information specific to a characteristic. For example in SD Order
quantity, Delivered quantity, Net value etc.
Period unit: It is also criterion used in Information Structures. We can collect
data for a particular day, week, month or posting period.

India SAP CoE, Slide 12

Organization of Information
Structures
Organization
of Information
Structures (continued)
Technically, Characteristics, Key figures and
Period act as Key fields for the structure.
We can use SAP defined Information
structures or can create our own customized
Information structures.
The name range allowed for user-defined
Information structures is S500-S999.

India SAP CoE, Slide 13

Information Structures as
interface for OLAP
SAP R/3 is an OLTP system. Information structures can provide some
operational analysis in R/3 as well as act as interface between R/3 and OLAP
tools like BW for Strategic analysis.

Steps for Creation of LIS (SIS)

Create a field catalog containing key figures and characteristics (if

necessary)

Create info structure using existing or any newly created field catalogs.

Assign an update group to the info structure and set up update rules for
the key figures and their characteristics

Activate the update for the info structure

Perform statistical setup to bring in old and current document data into
the info structure

Drilldown Lists: A drilldown list shows a particular
characteristic value, for instance, in detail. There are
several drilldown options, depending upon the
analysis selected. A drilldown can be based on two
criteria: With regard to a characteristic (for example,
material, material group, vendor, period) or with
regard to an existing hierarchy. The maximum
number of drilldowns or lower levels is 6.

Date Selection for Key Figures

Selecting the correct date has a significant effect on the informative

value of the stored information.

For example, if you update the sales order quantity for the event "sales
order" using the date on which the order was entered in the system, you
obtain information on the order receipt since the current date of the
incoming order is taken as the entry date.

If you use the shipping date instead of the entry date, the order quantity
is cumulated in another period since the shipping date usually lies in the
future. The update now contains information on the shipping capacity to
be planned in the subsequent periods.
