Using templates

Launch PowerPoint and choose the


appropriate IMS Health blank template IMS

Agenda slide

Starts at 20 point
Font is verdana, Dark Blue
Bullets can be cyan or teal
If chapter title, can be bolded for emphasis
An agenda slide may appear at the beginning of a
presentation to outline content
Breaking a longer presentation into chapters is recommended
(every 10 or so slides)
Chapter names are entered in text placeholder
Short outlines only

The live area of the slide

Preferred live area is shown by


bounding boxes
All content (text, figures, charts,
images) SHOULD BE contained
within the area defined by this
bounding box.
Using this bounding box as a
visual guideline will keep slides
looking clean and well-organized.

preferred, two lines max
Subtitles or graph titles are typed in this bar and modified

Employ a clear information hierarchy

Use a highlight box to emphasize content

A semitransparent highlight box may be placed behind text to


emphasize an important point
A highlight box can be any of the primary, secondary or extended colors in
a standard presentation

Highlight boxes can be up to 9 wide and are either left- or


right-aligned with the text placeholder
They may vary in height

TIP: Turn bullet off so bullet does not run into edge of
highlight box. Insert a tab to left-align highlighted text with
other text

Line spacing

Lines are the base unit of


measurement for ALL line spacing
Do not use points
Correct line spacing is set for the auto
text placeholders in the template file
Select Line Spacing Options to configure
measurements
Default line spacing is set to 1.0 line
Default space before paragraphs is set
between
.5 and .3 lines depending
on text level

Verdana is the IMS Health PowerPoint font

When converting slides from existing


presentations, ALWAYS check for
other fonts
Select Replace>Replace Fonts on
Quick Access Toolbar
Select Replace Fonts to see if fonts
other than Verdana are contained in
the file
If so, replace incorrect fonts:
Pull down the tab under with,
scroll down to Verdana and hit
replace

Fonts in charts created in PowerPoint (with Microsoft Graph) or charts / tables linked to other applications, such as Word and
Excel, may have to be replaced manually in the native application

Color palette

The slide color scheme in the


PowerPoint template has been
customized to include the IMS
Health color palette
The key palette colors will ALWAYS
be in the same position in the
CUSTOM COLORS row in the pull-
downs menus when color is
present, eg Shape Fill and
Shape Outline, bucket fill, text etc
Colors can also be changed
manually as the palette is
expanded

Slide masters and auto layouts

The master slides contain placeholders that


govern the look of an entire presentation:
The background color & design elements eg the IMS
Health logos
Content elements e.g. the position and formatting of
Text placeholders, footer information & slide
numbering

Inserting content in auto layout placeholders


keeps a presentation organized and consistent
from slide to slide
The templates utilize some of the default slide
auto layouts as is
Some slides are based on a default layout, but
modified
Content placeholders in slides not approved by
the IMS Health template often do not function
correctly and should not be used

IMS Health charts

The look of charts has been simplified to emphasize the


data and to follow the cleaner main Branding Guidelines
where charts are used in thought leadership materials
No 3-D effect
No gradient fills
Removal of gridlines and axis
Background color behind chart
Limit the amount of data
Plotting too many data points detracts from key takeaways
Limit the number of charts per slide
Too many charts on a single slide confuse the audience and
dilute the impact of the data
Column, bar and pie chart fills are always plotted
according to the slide color scheme

After choosing a layout with the


chart icon in it click on it to add an
IMS Health approved chart
Template
Caution: Objects other than text
or tables that are contained within
placeholders often shrink to fit the
width of the placeholder, resulting
in a disproportionate display ratio
IMS Health custom color sets are
preset in the chart Templates, edit
colors as previously described

Keep animation of slide elements simple


Animate slide elements only if it helps to emphasize the main point of the
page
Do not use extreme animation effects, i.e., swivel or spiral

Use a consistent transition between slides


IMS preferred transition is fade or wipe right
Do not mix transition effects in the same presentation

Use multimedia effects sparingly

Converting Excel files

The standard color palette is embedded in an Excel template


for consistent chart formatting across programs
Each format has its own template: one for standard presentations and one
for event presentations

Charts follow the same formatting rules as those in


presentations
No 3-D effect
No gradient fills

Import reformatted charts into PowerPoint


Do not paste as picture if the datasheet may need to be updated in the
future

Converting charts in Excel

The color palette:


Open a new document based on
the IMS Health Standard
template
Open the existing Excel
document to be converted
Select the Chart and click
Change Chart Type > Templates
to select an IMS Health
approved template. The color
scheme will convert to the IMS
Health color palette
automatically

Note: A system administrator should load Excel color template into appropriate folder

Converting slides to the IMS Health format

The amount of work involved in updating an


existing presentation to the IMS Health look is
always directly related to how extensively the slide
auto layouts, object placeholders and slide color
scheme were used in the original file
If default text placeholders / slide color scheme were not
used in creating the original file, conversion will be more
time-consuming

Make sure there are no legacy images, content or


clip art
Use approved icons and infographics
Use slide masters, auto layouts, the live area
and the slide color scheme to format and position
elements consistently

Converting slides to the IMS Health format

Launch PowerPoint and open an


untitled presentation using the IMS
Health template
Use the Reuse slides facility in New
Slide to open your old presentation
to be converted
Click on insert slide or insert all
slides
Replace any incorrect fonts with
VERDANA
Charts / tables imported from Excel may
require additional attention to conform to
the IMS Health look

Converting slides to the IMS format

After copying existing slides into the IMS


Health format, apply or re-apply the
appropriate slide auto layout to conform to
the IMS Health look
This can be done to multiple slides of the
same type simultaneously while in slide sorter
view
You can also click on the Design toolbar to
convert to IMS Consulting Group or IMS
Institute templates
Some reformatting will ALWAYS be
necessary when converting existing slides to
the IMS format
After conversion, review each slide in
slideshow mode [view>slideshow] to ensure
that text is aligned, and colors are correct IMS

To facilitate global exchange of information,


all presentation files are now set to the
same default size optimized for screen /
projection
Check that your document is set up for On-
screen Show (10W x 7.5H, or 4:3)
Design > Page Setup
Click OK when done
Set up your print dialog box
Go to Office Button > Print
NEVER choose Scale to fit paper as this will
stretch art / elements
Click on Properties or Options
Find the Paper Size dialog box and select A4
