Form and Contents of an Application for a
Situation.

 An application for a situation though is a


business letter does not contain the heading
 They may however contain the following
contents

Form and Contents
Heading:
 This simply consists of the words “Application for
the post of ( )
 The brackets should contain name of the post
 Heading should be written in the centre at the
top of the page after leaving three or four lines of
the top

The Writer’s address and Date:
 Generally, the writer’s address is written at the
right hand top corner of the paper
 The date invariably forms a part of the writer’s
address
 The writers address should begin with “from” in
the next line

 This would then require writing ‘To’ before writing


the inside address
 Also, in this case, the date is written at the end of
the letter, beginning with the left hand margin and
on the same line where complimentary close is
written

 When this model is chosen, the next item in the


applications viz; Employer’s address should be
preceded by the word ‘To’.

Inside Address:
 This depends upon whether the application is in
response to an advertisement or is an
unsolicited application.
 If it is in response to an advertisement – The
advertisement may contain the name
 (i.e., the position and not the personal name) of
the Officerto whom the letter is to be addressed.
 In that case, the inside address will start with the
status name of that Officer.

Employer’s Address: Next employer’s address


should be written fully. It should be preceded by
the word ‘To’ as shown on the following example.

 Some times the advertiser does not mention the
name of the Office to whom the application is to
be addressed,
 Nor is there any identification of the advertiser
 The advertisement simply contains Box or Bag
Number to which the application is to be sent
 In such case, the inside address would be:

Salutation: This in most of the letters is written


as ‘Dear Sir’ or ‘Dear Madam’ ‘Dear Sirs’, but
under no circumstances should be ‘My Dear Sir’.

Body of the Letter: This is the main part of an
application letters. This consists the following parts:

 Subject:- This is written just like in a business


letter and contain a brief note on for what post is
the application being written.

 Reference:- This should refer to the advertisement


in response to which the application is being
written
 It consists of the News Paper or the Magazine in
which the advertisement had appeared
 The number and date of the advertisement

Introductory Paragraph:

This is the first paragraph. This should state the


following points:

 How the applicant has come to know about the


post
 That he is eligible for the post
 That the purpose of writing the letter to get the
post

Introductory Paragraph: The purpose of letter is
to get the post. Some examples of introductory
paragraphs of both solicited and unsolicited
applications are as follows:
 I request your favourable consideration of my
qualifications for the position of -----with your firm
advertised in The Hindu, dated-----
 Your advertisement in the New Indian Express
dated-----for the position of a Senior Accountant
suits my qualification and experience

Press Journal of 7th February, 2008, I wish to
apply for the post of---------------
 In response to your advertisement-------etc.,
 Referring to your advertisement in------etc.,
 I have seen your advertisement in New Indian
Express, dated 24th February, 2008. I apply for
the post of an Accountant advertised through the
above advertisement as I am qualified to apply for
the post
